Prospect Status in an Outreachly Campaign: Stuck and Waiting Reasons

In any campaign, prospects don’t always move forward right away. Sometimes it’s a temporary pause, other times it’s a hard stop. Knowing the difference helps you understand what’s happening and what (if anything) you need to do next.

This guide explains the two main categories you’ll see in your campaigns:

  • Stuck (Pending) – The prospect can’t move forward because of a specific blocker. This puts them in a Pending status.

  • Waiting – The system is waiting on an automated action or a prospect response. No action is required from you.

Stuck Reasons (Pending)

A prospect is marked as Pending when there’s an issue that prevents the next campaign step from happening.

Common examples include:

  • Invalid or missing email address

  • Prospect’s privacy settings block InMails

  • No Sales Navigator subscription available

  • Email integration disconnected

  • Out of credits for a specific action

💡 When this happens, you’ll see a notification in the Pending section. Hover over the Pending status in the Campaign column to view the exact reason.

Waiting Reasons

A Waiting reason means the system is holding until an external event occurs. The prospect stays in their current status.

Examples include:

  • Waiting for a prospect to accept a connection request

  • Waiting for an InMail or message to be possible

  • Waiting for Sales Navigator credits to refresh

  • Waiting for manual approval or manual action from you

  • Video or SMS is still processing

💡 To check the reason, go to the relevant campaign tab (e.g., Contacted) and hover over Waiting in the Campaign column.

Full List of Reasons

Here are the most common stuck and waiting reasons you might see:

  • Invalid or missing email address

  • Invalid or disconnected email integration

  • Invalid or missing phone number

  • Invalid CRM integration

  • Prospect blacklisted

  • Prospect profile closed or unconnectable

  • Prospect not premium (when Premium only is enabled)

  • Prospect has closed messages in groups/events

  • Out of InMail or Sales Navigator credits

  • API booster not activated

  • Could not retrieve Sales Navigator link

  • Custom placeholder or video template missing

  • Connection/SMS/Invite message too long (over character limits)

  • Connection request withdrawn (must wait 3 weeks to resend)

  • Profile waiting for manual approval/action

  • Action in progress (system is still completing it)

  • Video still processing

  • Last extension task failed
